How to block other people's appointments and meeting rooms on the Outlook calendar, but not put the schedule on your own schedule on April 14, 2023 Get link Facebook X Pinterest Email Other Apps ## Overview ### What we want to do - Block other people's appointments and meeting rooms in the Outlook calendar, but only reflect their appointments and meeting rooms in other people's appointments and meeting rooms, and do not put the schedule on your own schedule. ### Use Case. - A secretary or assistant blocks appointments on behalf of a higher-level person, but wants to keep his/her own calendar open. ### Implementation Method - In order to prevent the schedule from being registered in the schedule of the person making the proxy appointment, we will use the shared mailbox schedule. ## Details of implementation method ①. Create a shared mailbox ("shared mailbox A"). (*1) ②. Grant access rights to "Shared Mailbox A" to the user who will set up the meeting (assumed to be "User B"). (*2) ③. "User B" displays the calendar of "Shared Mailbox A" additionally on his/her own calendar screen.(*2) - For Outlook on the web > [Add Calendar] > [Add from Directory]. - In case of desktop version of Outlook > [Add Calendar] > [From Address Book] > "[Global Address List]" from the drop-down menu of "Address Book (D)", search or select the shared mailbox, and press [Calendar]. ④. Set up a meeting in the "Shared Mailbox A" calendar and add a meeting room resource to that meeting. ## Supplemental Shared mailboxes can be created in the Exchange Management Center by going to Recipients > Mailboxes and selecting "+ Add Shared Mailbox" (it is recommended to allow some time for this to take effect, as it is slow). When creating a shared mailbox, under "Next Steps" select "Add Users to this 0 mailbox" > "+ Add Members" to find or select a security group that is enabled for proxy bookings or emails containing proxy bookings, and "Save". Save. Comments
