Tips for administrators to access OneDrive personal folders and remove the shared link.
Case
- You are using OneDrive's shared link function to transfer files.
- It has been discovered that the shared link settings are incorrect.
- Files that should not be shared are being shared.
- Sharing a folder path that should not be shared.
- Passing files with edit permission that should not be allowed.
- For immediate action, please ensure that the file sharing settings are controlled by the administrator and not by the person who made the mistake.
Required permissions
One of the following Azure AD Roles must be assigned to the user who will be performing the work.
- Global administrator
- Office application administrator
Procedure
STEP0 (Prerequisite)
There are folders or files that have been set up for shared links.
STEP 1
(1) Access the Microsoft 365 Management Center (https://admin.microsoft.com/) with an administrator account.
STEP2
(2) Select [Users] tab > [Active Users] on Microsoft 365 Admin Senter.
(3) Select the name of the relevant user (the user who made a mistake in setting the shared link).
(4) Select the [OneDrive] tab in the sidebar that appears on the right side of the screen.
(5) Click [Create a link to the file] in the [Access to the file] section.
STEP3
(6) Click the URL that is displayed after the operation in [5]. This URL will become the OneDrive for Business URL for the corresponding user, and by accessing this URL, the administrator account will be set as the "Site Collection Administrator" for the corresponding user's OneDrive.
STEP4
(7) Select the folder or file you want to remove the shared link from in the OneDrive you are logged into and click on the area in the red frame in the above diagram.
(8) Click [Manage Permissions] and select the appropriate shared link from the bar displayed on the right side of the screen.
(9) When a pop-up window appears, click [Delete Link] to delete the shared link.
Post-processing (Removing the administrator from the owner of the site)
Assumption
OneDrive is a drive that is intended for personal use, but after following the steps above, the administrator user will become the "Site Owner" and will continue to have access rights to the personal OneDrive.
In order to remove the access privileges of the administrator user, the owner must be changed on the side of the general user (the user who made the mistake of setting the shared link in the above steps).
STEP1
(1) Log in as a normal user and click the upper right on the screen.
(2) Select [OneDrive Settings] from the sidebar that appears.
STEP2
(3) Click on [OneDrive Settings] in the sidebar on the left side of the screen.
(4) Select [Site Collection Manager].
STEP3
(5) When the list of OneDrive owners is displayed, select the "X" sign to the right of the user name that has been accessed as the administrator this time, and delete the permissions.
(6) Click [OK] to save the changes.
